RESERVATIONS
Reservations can be made on the Internet 24 hours a day, by mail, telephone, or in person seven days a week from 9:00 AM to 5:00 PM on Monday through Saturday and 11:00 AM to 5:00 PM on Sundays. All prices quoted in this brochure are for 7 day rentals. A DEPOSIT EQUAL TO 50% OF THE TOTAL AMOUNT MUST BE RECEIVED WITHIN 10 DAYS OF THE BOOKING TO CONFIRM A RESERVATION. YOUR VACATION RENTAL AGREEMENT WILL BE CANCELLED WITHOUT NOTICE IF THIS IS NOT RECEIVED. A vacation rental agreement will be mailed to you after the reservation is made. This document will detail cost, due dates and policies. Receipt of a signed vacation rental agreement will be required prior to confirmation of your reservation. The down payment includes half of the rent, half the sales use and occupancy tax, the optional Lodging Protection Insurance, the $95.00 Reservation fee, (plus NC sales and use tax). An Accidental Rental Damage Insurance Plan will be offered in lieu of paying the refundable Security Deposit and is due with your final payment. The reservation fee, Lodging Protection Insurance and Security Deposit Protection Plan, if offered, are non-refundable. THE ENTIRE BALANCE OF YOUR VACATION RENTAL AGREEMENT AMOUNT IS DUE IN OUR OFFICE 30 DAYS PRIOR TO YOUR CHECK-IN DATE. Personal checks are acceptable for advance rental amounts, balances and security deposit payments provided the check is received 30 days prior to the vacation rental agreement date. Otherwise, the payment must be in the form of certified or cashier?s check, money order, Mastercard, Visa or Discover. Payments other than a personal check, money order or a cashiers check will incur a $49.95 Charge added to each payment. If paying by credit card, the leasehold must be named on the card. Also, a $25 service charge on all returned checks will be added to your balance. All advance rent amounts and the security deposits, if applicable, will be deposited in an INTEREST BEARING TRUST ACCOUNT at OBX Banks, Kitty Hawk, NC. 27949, with the interest accrued going to Shoreline OBX LLC.
POOL DATES
Private pools are open from 4/02/11 thru 10/14/11, with exception of unit KDH-3 with is 5/14/11 to 10/14/11.
TRIP INTERRUPTION INSURANCE
This is available as an option on each reservation. The fee for the insurance is 7%. TRIP INTERRUPTION INSURANCE MUST BE PAID FOR AT LEAST 30 DAYS PRIOR TO ARRIVAL OR AT THE TIME YOU MAKE YOUR RESERVATION, WHICHEVER IS EARLIEST. For a detail description of the plan, please go to: http://www.travelguard.com/astp/. Shoreline OBX receives a portion of this fee for processing the insurance purchased. The policy covers standard trip interruption due to medical emergencies and mandatory evacuation days due to weather. Shoreline Preferred Properties LLC and the owners that they represent do not refund in the event of evacuation for severe weather. RENTERS MUST HAVE TRIP INTERRUPTION INSURANCE FOR REIMBURSEMENT DUE TO MANDATORY EVACUATIONS, ADMINISTRATION FEE AND TAXES.
All rental rates are subject to a $95 administration fee and state and local taxes.
CHECK-IN time is between 4 PM and 5 PM on Saturdays and Sundays. Early check-ins will be available, for a fee, on a limited basis. If you are unable to check-in during this time period, please call us in advance to make arrangements. We can only provide for late check-in if your balance has been paid in full and your lease has been signed and returned to us.
CHECK-OUT time is 10 AM Please observe this rule, as our housekeeping staff needs time to prepare for our next guests. Upon leaving, please secure all windows and doors, wash dishes, clean out the refrigerator, remove all trash, place trash cans at street curb, leave all towels in the home and leave the beds unmade and return keys to our office by 10 A.M. on your scheduled day of departure. A key drop is available for check-out prior to 9 A.M. If your home requires extra cleaning because you left it in poor condition, you may be charged an additional cleaning fee. Two (2) KEYS will be issued at check-in. A charge per key will be deducted from your security deposit for keys not returned. TRANSFERS A $95 fee (plus NC sales and use tax) will be charged for transferring a confirmed rental week for the same property within the same rate period.
CANCELLATIONS
In the event of a cancellation of a confirmed rental for any reason, Shoreline Preferred Properties LLC. must be notified in writing and will make every reasonable effort to re-rent the property. If the property is re-rented for the original vacation rental agreement amount, tenant will receive a refund of the advance rental payment less $150 cancellation fee plus tax. If re-rented for less than the original rate, tenant will receive the balance of the advance rental payment less $150 cancellation fee plus tax plus an amount necessary to make full payment to the owner. All refunds will be made within 60 days of receipt of the re-rented advance rental payment. If the property is not re-rented, no refund will be paid. If you purchased the optional Travel Insurance, that insurance premium will not be refunded.
PETS (Dogs Only)
Houses that allow pets are indicated in the listings. Please call us for a current list of homes that allow pets. If you bring a pet an EXTERMINATION FEE of $95 plus tax will be collected and additional deposits may be required. Pet owners will be financially responsible for damages and extra cleaning. Limit 2 pets per property. Shoreline Preferred Properties LLC. receives a portion of the extermination fee.
FURNISHINGS AND EQUIPMENT
Homes are furnished for normal housekeeping with dishes, cookware, flatware, glasses, grills and basic appliances. GRILLING ON THE DECKS IS STRICTLY PROHIBITED. Please grill on the concrete or in designated areas. Please check the online description for the inclusion of bed and bath linens as this varies based on the house. Guest will be responsible for their own bath towels and bed linens based on the online description. Please be sure to pack any specialty items that you may require during your stay. Porta-cribs, surfboards, beach chairs, beach umbrellas and towels may be rented locally.
CONDITION OF PROPERTY
Every effort has been made to ensure that our descriptions and distances to ocean accesses are accurate; however, we CANNOT BE HELD RESPONSIBLE for changes made by owners in furnishings or equipment, inaccurate descriptions, distance to ocean errors, or printing errors. PLEASE NOTE THAT WE WILL BE UNABLE TO MOVE YOU TO ANOTHER HOUSE BASED ON THESE ISSUES.
OCCUPANTS
Represent themselves to be an adult 25 years of age or older. In addition, all occupants (?Permitted Occupants?) of the house must be either (1) the tenants named on the lease (2) 25 years of age or older (3) direct descendants of the occupants (such as children, grandchildren or great-grandchildren), (4) direct ancestors of the occupants (such as parents or grandparents) (5) siblings of the occupants, and/or (6) a maximum of one (7) additional person for each occupant, direct descendant, direct ancestor or sibling of the occupants. If occupants do not comply with this paragraph Tenant(s) and occupants will be refused entry onto the premises and Tenant(s) or occupants will not be entitled to a refund of any rent payments made. NO EXCEPTIONS.
OCCUPANCY
The permitted number of occupants as defined by the local county health departments is listed in the directory. Shoreline Preferred Properties will not allow overcrowding of the house beyond the existing bedding. No RVs, campers or mobile homes may be parked on the premises for the purposes of extra sleeping capacity.
CONSTRUCTION
Shoreline Preferred Properties cannot predict construction plans in the area and therefore cannot be responsible for any construction that may be occurring near one of our beach cottages. No compensation or moves to other properties will be considered.
MAINTENANCE
All equipment in the cottages should be in working order. Please report any inoperative equipment to our office. Every reasonable effort will be made to promptly repair the same. No refunds will be made for inoperative air conditioners, appliances or for mechanical failure, or delays in utilities.
LOCKED CLOSETS
Contain owner?s personal property. Please respect these locked closets, cabinets or rooms. They are NOT INCLUDED as part of your rental.
ITEMS LEFT BEHIND
Shoreline Preferred Properties cannot be held responsible for items left in homes. Please double check your cottage for personal items prior to departure. If we are asked to return items to you they will be returned C.O.D. plus a $25 processing fee.
SECURITY DEPOSIT
Each reservation is subject to a Accidental Rental Damage Insurance Plan. Details can be found at: http://content.travelguard.com/adx/aspx/adxGetMedia.aspx?DocID=14047. The $75 Accidental Rental Damage Insurance is non-refundable and provides coverage against any unintentional damage up to $1500. The Accidental Rental Damage Insurance is due with the final payment. This is also detailed in your Vacation Rental Agreement. Shoreline Preferred Properties has a thorough inspection policy to ensure our rental units are in good condition and that tenants will not be inadvertently billed for missing or broken items. Please assist us by reporting any missing or broken items to our office within 24 hours so that you will not be held responsible.
ADVANCE RESERVATIONS
Current guests have first priority to reserve the same cottage for next year during the same rental week. Simply return the advance reservation form along with your advance reservation fee of $50, plus taxes, at the end of your visit (after that time advance reservations are taken on a ?first come, first served? basis). THE ADVANCE RESERVATION FEE ALLOWS YOU TO HOLD A HOME IN YOUR NAME FOR THE FOLLOWING YEAR AND IS NOT APPLIED TO NEXT YEAR?S AGREEMENT. Rental rates and availability are not guaranteed and cannot be confirmed until the agreements for the following year are sent out.
FIREPLACES
These are available during the winter rental season, October thru April, if stated as available in the online description and may not be used while the air conditioner is running.
HOT TUBS AND POOLS
Pools are cleaned between guests and hot tubs are cleaned between guest and mid week. Since neither the homeowner nor Shoreline Preferred Properties employees are on the premises during the use of these amenities, the rental party agrees to be solely responsible for the use and operation thereof.
BED AND BATH LINENS
Bed and Bath Linens are provided based on the individual unit. Guest will be responsible for bringing their own linens unless otherwise noted in the online description for the unit rented. Linens provided do not include sleeper sofas, trundle beds or cribs. Additional linens may be rented from Shoreline.
PARTIAL RESERVATIONS
Partial reservations (less than one week) are accepted by some of our properties. Partial reservations will not be taken until a week prior to the actual check in date. A short stay fee in the amount of $55 will be applied to the reservation in addition to the regular fees charged. The rental rater is determined by the rental Agency and the property owner. Linens, hot tub and pool services ate NOT Included in partial reservations. Guest may pay an extra fee for any or all of these services.
UNITS FOR SALE
Tenant understands that a vacation rental property may be listed for sale. Agent reserves the right to show each rental unit for sale to potential buyers. Every effort will be made to schedule the showing so that it does not interrupt. The tenants vacation. Tenant?s understands that in the event of a sale or transfer of the rental property, the new owner may not be bound to honor a rental if it. Falls outside of the 180 days from the time the property transfer was recorded. In this event, tenant shall be entitled to a refund of rent payments made, by the new Owner. The sale or transfer of the property is subject to NC GS42A of the North Carolina Vacation Rental Act.
